Few Words of Operation

1. Check-in time at most of the Hotels is 1400 Hrs & Check-out time is 1100 Hrs.
2. Please note that our local area Executive will hold placard as advised by you, just outside the only exit gate of Bagdogra Airport.
3. Incase the passengers are arriving at NEW JALPAIGURI Railway station which has 02 entry & exit gate, passengers will be meeting our area Executive at the old exit gate (which happens to be the main gate also) holding placard in their name / or as advised by you.
4. It is to be noted that incase, the guest is arriving by train in the late evening / night & are departing early morning, it is mandatory for them to spend a night in SILIGURI. In such situation of late arrival & early departure, if the client does not have a booking, then the client will have to wait at the Waiting Room at the station.  Our Executive will be meeting the guest at 0600 hrs in the morning for the meet & greet and arrival transfer. This has been planned keeping security factors in mind.
5. Sikkim & Darjeeling is a hilly area & change is weather is a regular feature. It is advisable that light layer clothing should be carried always. In winters it is advisable to carry heavy woolens.
6. Landslide is a common occurrence in hilly areas. EXPENSES INCURRED FOR DIVERSION, DUE TO THIS OR ANY OTHER REASONS WILL BE COLLECTED DIRECTLY AS PER ACTUAL EXPENDITURE INCURRED.
7. The vehicle used will be exclusive for that group but will not be at disposal. It will be as per contract & will change sector wise.
8. As the area is backward & due to unwritten syndicate rules your drivers will be changed for every transfer & sightseeing. These Drivers are not educated in tourism etiquette & do not know how to speak & behave. Many a times guests like you are misguided by such drivers. We would request you not to listen to such people & reconfirm whatever they say with your File Handling Executive (FHE).
9. Certain sightseeing is totally controlled by the syndicate and we do not have any say over such services. We will request you to bear with uncalculated situations. Your FHE will guide you on such services eg Tshangu Lake, Nathula, packages to North Sikkim. Especially while using such services you have to careful with the drivers as they are not very well behaved & disciplined. We advice you to treat them gently so that you carry good memories home.
10. As the vehicles & drivers change always we request you to be very careful with personal belongings. Once left in the vehicle there is very little chance of your getting them back.
11. We make contingency plans so that the sightseeing points do not fall on a closing day. Incase due to inevitable situation if the sightseeing falls on a closing day, it will have to be left out & cannot be carried forward to the next day. If you are taking the left out tour on the next day you will have to pay the extra against the vehicle charges as advised by your File Handling Executive (FHE). 
12. For your sightseeing in Darjeeling Peace Pagoda & Japanese Temple are included as Ropeway & Lebong Course is closed.
13. Sightseeing Points remains closed on State Government & Bank National Holidays. The points which are closed are Research Institute of Tibetology, Handicraft & Handloom Showroom, Flower Show in Gangtok & Padma Naidu Himalayan Zoological Park, Himalayan Mountaineering Institute, and Tibetan Refugee Self Help Centre in Darjeeling.
14. Weather in the hills is unpredictable. We have kept your sightseeing related with nature, like Tiger Hill in Darjeeling, flexible. This is done, so that the chances of good view of Sunrise become more probable. When our Executives call you up for such change we will request you to take it sportingly & without any apprehension. Once Tiger Hills sightseeing is decided between you & FHE which will be done before 6 P.M. no changes will be allowed. Incase of any changes it will be treated as cancellation without any refund. Changes after P.M. cannot be accommodated as the allotted drivers leave the Operations premises by 6 P.M. & are not contactable. At any rate the vehicle will report at 4 A.M. in the morning. Whether you go for the sightseeing or not for any reason or eventuality (which could be because of you wanting to change after 6 P.M. or bad weather or heavy downpour) the bills will be raised against us. These rules are formulated by the local syndicate which is very strong. For further clarification please contact your FHE.
15. High Mountains sightseeing like Tshangu Lake, Yumthang Excursion, Gurudongmar Excursion has to start early in the morning so that you come back early. This is designed for your security as in the afternoon the weather gets cloudy & foggy throughout the year.
16. Also it is to be noted that there is a vehicle-parking problem in the whole area. Most of the areas are restricted to entry of vehicle & specific time is allotted for entries. Guests are requested to follow the time strictly as given to you. Incase of delays the vehicle will have to leave the hotel area without the guest & parked in a parking area. In such case the guest will have to be transferred in a Maruti Van FOR WHICH THE COST WILL HAVE TO BE BORNE BY THE GUEST & WILL BE COLLECTED DIRECTLY
17. Due to parking problem at many hotels even if you are ready on time you will have to wait in the lobby so that the vehicle comes & picks you in few seconds time before the policeman blow his whistle.
18. Due to non availability of night life the whole area goes to bed early & wakes up early. We request you to go to bed on time so that next day you can start your tour early.
19. The area is backward but rich in Nature and the facilities available cannot be matched to those available in the Plains and other developed destinations. Please be informed on this constraint of the area.
20. As the area is backward it is quite obvious that the constructions of the hotels are unplanned. This further means that almost all the good hotels are in the city centers. These hotels may have the view of the building in the front, beside or behind them. As the services are very poor in the area, we have made our hotel selection on the basis of SERVICES provided.
21. We do not have star category hotels in this area. So we have termed  ‘The  Area’s Best Hotels’ as LUXURY / GRADE A, which is comparable to  Three Star Hotels;  ‘The  Area’s Second Best Hotel’ as DELUXE/ GRADE B, which is comparable to  Two Star Hotels and ‘The  Area’s Third Best Hotel’ as STANDARD / GRADE C, which is comparable to  One Star Hotels.
22. In all hotels mentioned above Extra Person Sharing the Room, Child with Extra Bed, will be provided MATTRESS / ROLL OVERS as per requirement.
23. In the area all hotels do not have lift facility & the guest may have to climb stairs. Incase of guests having problems with blood pressure, breathing, knee & heart or if they cannot climb the higher floors, we will request you to report this problem immediately to your FHE. Your FHE will take utmost care in assigning rooms which will be more convenient than the ones reserved for you. This is again subject to availability. This information is also important so that your FHE plans your visit to the high altitude area accordingly.
24. In a hilly area scarcity of water & electricity is a natural phenomenon. Everybody buys water for their day-to-day needs & have learnt to live even without electricity in case of Load Shading. Guests are requested to bear with such problems as may arise during the tour. To overcome this problem certain hotels have fixed schedule for supplying hot & cold water. For such timings please co-ordinate with Hotel Front Office.
25. There will be no refund of any unutilized service in part or in full what so ever may be the reason.    

Booking & Payment Procedure

1. All bookings are subjected to an advance deposit of INR 5000.00 per person for booking more than 15 days in advance or else 100% amount has to be paid which will be confirmed in writing upon receiving your request over email or Fax.  The Procedure will be as follows.
2. Pass the booking to ltc@mytravelagent.in & sugaltourism@yahoo.com
3. Before the expiry of the deadline, you need to deposit the payments in our Net Bank Account with State Bank of India , Account Name: SUGAL TOURISM DEVELOPMENT (P) LTD., Account No : 30537563153.
4. After depositing the payments please fax (us on 044 25615554), the pay in slip with the GROUP LEADER NAME against which the amount is deposited. You may also email us the particulars on ltc@mytravelagent.in & sugaltourism@yahoo.com 
5. In case the bank branch is not available locally, then the payments are to be forwarded to us through courier or post  in form of DRAFT ONLY favoring SUGAL TOURISM DEVELOPMENT (P) LTD.,  payable at CHENNAI
6. All payments are subjected to realization. On realization we will acknowledge the same with final confirmation over email / Fax. On receipt of our final confirmation email, you are requested to issue, your service vouchers along with the FILE NUMBER written in the “booking confirmed by” column. 
7. Don’t forget to mention on your service voucher the following : Booking code / our UD number: It will be mentioned in query / confirmation mail & our Emergency number 09841565747,

Cancellation
All cancellations are to be communicated in writing, & will attract a sum of INR 3000.00 minimum apart from cancellation charge of the airline. Beside the forfeiture of the deposit amount, a further charge will be levied if notice of cancellation is received within 15 days prior to the operation of the booked tour as per the following.

Please note: All cancellation charges will be furthermore subject to the consideration of those engaged in arranging the itinerary. We will use all our powers to erase the cancellation charges and negotiate for the lowest possible charges.

Amendment
Amendment of booked tour will be treated as Cancellation. However, minor amendments can be made on the payment of a communication charge of INR 2500 / actual raised by the providers, which will vary from case to case.

Refund
Refund against Amendment and Cancellations will be paid directly to the source through whom the client is booked. It would take at least 15 days to process such Refund. However, there is NO REFUND for any unutilized services example – meals, entrance fee, optionals, hotels, sightseeing, transportation (surface / air). All refund made will be in INR (Indian Rupees).
The following points are to be noted about the above-mentioned itinerary:

1) GANGTOK
a) Tshangu Lake excursion will be of 5 Hrs from 0900 to 1400 hrs.
b) Supplement for Baba Mandir for 01 to 03 Pax (Maruti Van) will be INR 400 &  04 to 08 Pax (Hard Top/Jeep) will be INR 800
c) Nathula operation is subject to road condition and availability of permits as only limited permits are issued 48 hour prior to the schedule tour. Nathula service cannot be availed on Monday, Tuesday and Friday. . Nathula is NOT ADVISABLE to guest having problem with blood pressure, knee & heart.
d) Supplement for Nathula will be (INR 4500 per vehicle) by Hard Top Jeep. For Nathula only 08 Pax are allowed per vehicle.
e) Since Nathula is a restrict area any time army can seal for security reasons. In such case tour will only be till Tshangu Lake and no refund will be allowed for unutilized services.
f) Kindly forward the following for Tshangu Lake / Baba Mandir / Nathula, Permit 10 - 15 days prior to the Journey
2) PELLING
a) Pelling full day sight seeing will be of 08 Hrs 0800 to 1600 HRS covering Rimbi Waterfalls, Rimbi Hydel Project, Khecheopari Lake & Kanchenjunga Falls, Pemayangtse Monastery, Changay Falls, Singsor Bridge & Dentam Village (includes Alpine Cheese Factory).  
3) DARJEELING
a) Darjeeling Early Morning sight seeing will be of 03 Hrs from 0400 to 0700 hrs covering Tiger Hills, Ghoom Monastery, Batasia Loop.
b)  Darjeeling Half Day sight seeing will be of 04 Hrs from 0900 to 1300 hrs or 1400 to 1800 hrs covering Padmaja Naidu, Himalayan Zoological Park, Himalayan Mountaineering Institute, Gumbu Rock, Tibetan Refugee Self – Help Center & Tea Estate.
C)  Darjeeling Rock Garden & Ganga Maya sight seeing will be of 04 Hrs 0900 to 1300 hrs or 1400 to 1800 hrs.
